Why Do Finance Teams Spend Thousands on Dashboards Nobody Reads?

There is a dashboard sitting somewhere in your organisation right now. It took three months to build, cost more than anyone will admit publicly, and the last person who looked at it was the consultant who built it. Sound familiar?
The finance data visualisation industry is worth billions. Power BI, Tableau, Qlik, Looker β these are serious, capable tools backed by serious money. And yet, in boardrooms and finance departments across the world, the most important decisions are still being made from a spreadsheet someone emailed on a Friday afternoon. Why?
We Confused Beautiful With Useful
The first generation of BI tools sold a vision: transform your data into stunning visuals, and suddenly your whole organisation will be data-driven. It was a compelling story. It was also, largely, wrong.
Beautiful charts do not make decisions easier. They make presentations look better. There is a critical difference between a dashboard that impresses in a demo and one that a CFO opens every Monday morning because it genuinely helps them think. Most tools optimise for the former.
Ask yourself: when did you last change a business decision because of something you saw in a dashboard? Not something you already suspected β something that genuinely surprised you and changed your course of action. If you are struggling to answer, the tool is probably decorative.
The Tool Is Never Really the Problem
Here is the uncomfortable truth that no software vendor will tell you: the reason most financial dashboards fail has nothing to do with the tool. It has everything to do with the question nobody asked before building it.
What decision does this dashboard exist to make easier?
Not "what data do we have?" Not "what can we visualise?" Not "what does management want to see in the quarterly review?" The question is: what specific decision, made by a specific person, at a specific frequency, will this dashboard improve?
When that question is answered first, the tool choice becomes almost irrelevant. A well-designed spreadsheet that answers the right question beats a Power BI masterpiece that answers the wrong one every single time.
The Per-User Pricing Trap
There is a second, more practical reason finance dashboards get ignored: they are locked behind licences that most of the people who need them do not have.
Power BI Pro costs roughly $10β$20 per user per month. Tableau is more. Qlik is more still. In a 200-person company where 30 people are genuinely in finance, that is a manageable cost. But in a company where the operations director, the sales lead, and three regional managers all need to see the same cash flow forecast β suddenly the licence bill becomes a political conversation.
So what happens? Finance builds the dashboard, finance looks at the dashboard, and everyone else gets an exported PDF on a monthly cadence. The "single source of truth" becomes a document attached to an email, which is exactly what you had before you spent six months implementing the BI platform.
What Does Good Actually Look Like?
Good financial visualisation has three properties that have nothing to do with the tool:
It answers one question per view
The best financial charts are almost boring in their focus. A 13-week cash flow forecast that shows closing balance by week. A break-even chart that shows exactly how many units you need to sell. A variance report that shows budget vs actual, line by line. One question, one answer. The moment a dashboard tries to answer five questions at once, it answers none of them well.
It is owned by someone who checks it
Every useful dashboard has a person β a specific human being β whose job is slightly harder if they don't look at it. If nobody's job depends on the dashboard, nobody will look at it. This sounds obvious. It is almost universally ignored in dashboard projects.
It updates without manual work
A dashboard that requires a finance analyst to spend two hours refreshing data every Monday morning is not a dashboard. It is a recurring chore dressed up in a nice interface. If the update process is not automated, the tool has not solved the problem β it has just moved it.
The Spreadsheet Is Not the Enemy
There is a tendency in the data visualisation world to treat the spreadsheet as a relic β something to be replaced rather than improved. This is a mistake.
Excel and Google Sheets are used by finance teams everywhere not because those teams are unsophisticated, but because spreadsheets are extraordinarily flexible, universally understood, and require no training. They are wrong for many things. They are right for a surprising number of things.
The question is not "should we replace our spreadsheets with a dashboard tool?" The question is "which decisions are we currently making badly because our data is in a spreadsheet, and what would genuinely help?" Sometimes the answer is a BI platform. Sometimes it is a better-structured spreadsheet. Often it is something in between β a purpose-built tool that does one thing exceptionally well.
The Vendor Blind Spot
Every major visualisation tool vendor has the same blind spot: they sell to the person who signs the purchase order, not to the person who uses the tool every day.
The CFO sees the demo. The demo is impressive. The contract is signed. Six months later, the finance analyst who inherited the implementation is maintaining a data model they barely understand, and the CFO is back to asking for the numbers in an email.
This is not unique to finance. But finance is where it hurts most, because the cost of a wrong decision made on bad data is measured in real money. A marketing team running a campaign on a misread chart loses some ad spend. A finance team approving a capital allocation on a flawed model can affect the trajectory of the entire business.
So What Should Finance Teams Actually Use?
There is no universal answer, which is itself an answer. The right tool depends entirely on the question being asked, the person asking it, and the frequency with which the answer is needed.
But here are three principles worth keeping:
- βStart with the decision, not the data. Define what needs to be decided and by whom before touching a single tool.
- βPrefer specific over comprehensive. A tool that does one thing perfectly is more valuable than a platform that does everything adequately.
- βMeasure adoption, not capability. The right question after six months is not 'what can this tool do?' but 'how many people actually use it?'
The irony of the finance data visualisation market is that the teams spending the least β using purpose-built, focused tools for specific financial decisions β are often getting more value than the teams running six-figure BI implementations. Not because they are doing less, but because they asked the right question first.
